How do you respond to a Google review?

Open the Business Profile, select Read reviews, and reply under the review — after verification, which Google requires first. There is exactly 1 kind of reply and it is public: Google posts it beneath the customer's review, shown as the business, without the name of whoever wrote it.

Why reply to a Google review at all?

Google states the effect in its own words: "Helpful and positive replies to reviews can show that you're responsive to your customers." The reply is permanent and sits directly under the complaint, so the person deciding whether to call reads both together. That reader, not the reviewer, is the audience — and writing for the wrong one is what produces defensive replies nobody is persuaded by.

Where do you reply to a Google review?

Through the Business Profile, by selecting Read reviews and replying under the review itself. Google's guidance names the precondition: "Before you can reply to reviews, you must verify your business." An unverified listing collects reviews the whole time it waits. Maps Agent reads a profile's public star rating and review count in its free Visibility Score audit, and whether a review was ever answered is not part of that public data.

Can you reply to a Google review privately?

No. Google describes what happens to an approved reply: "it will be publicly posted under the customer's review." There is no private channel, no direct message and no draft only the reviewer sees. Anything requiring privacy — an account number, a medical detail, a refund — belongs in a phone call the public reply invites, never in the reply itself.

How do you respond to a bad Google review professionally?

Acknowledge the specific thing that went wrong, say what has changed because of it, and offer a way to continue the conversation off the listing. Three or four sentences is enough. Arguing the facts of the visit rarely convinces the reviewer and always convinces the next reader that the business argues with customers, which is the more expensive impression.

How do you reply to a review with no comment?

A star rating with no text is still a review, and it can still be answered. Thank the customer briefly and give one concrete reason to come back, without inventing a complaint they did not make. Asking a one-star rater publicly what went wrong is fair and often gets an answer; demanding they justify the rating does not.

Is it worth replying to positive reviews?

Yes, and it is the cheaper half of the work. A profile where every review has a short, specific reply reads as attended to; one where only the angry reviews were answered reads as damage control. Specific replies also add real detail about services and places to a page a search engine reads closely.

What should a reply never contain?

Anything the customer did not make public themselves. Google's content policy treats personal information as removable content, so naming an address, an order or a health detail can cost the reply and looks worse than the review did. Nor should a reply offer anything in exchange for changing a rating, which Google's policy prohibits outright.

Does replying change the star rating?

No. A reply never alters the average, the review count or the position of the review on the page. It changes only what a reader understands about the business, which is why the measurable question about replies is how many people call afterwards rather than what happened to the rating.

Common questions

Does Google notify the customer when a business replies?
Google's guidance describes the reply appearing publicly under the review as the business, without the personal name of whoever wrote it. Treat the reply as something the next reader will find rather than as a message delivered to the reviewer, and it will be written for the audience that actually reads it.
Can you edit or delete a reply to a Google review?
A reply is managed from the same place it was written, under Read reviews on the Business Profile, and it can be changed later. The review it answers belongs to its author and cannot be edited by the business at all, which is the asymmetry that makes a careful first reply worth the extra minute.
How long should a Google review reply be?
Short enough to read on a phone under the review it answers — three or four sentences. A long reply reads as a defence and pushes the next review off the screen. The measure is whether a stranger finishes it and comes away with one clear fact about how the business handled the problem.
Should a healthcare business reply to a patient review?
Carefully, and never by confirming that the reviewer was a patient — that confirmation is itself protected information under US health-privacy law, whatever the review already says. Practices generally reply with a general statement about their standards and an offline contact, and take the specifics of any case off the public page entirely.
Is a business allowed to ask a reviewer to update a review?
Asking is permitted once the underlying problem is genuinely fixed. Offering anything of value for the change is not: Google's policy prohibits incentivised reviews, and a discount conditional on a better rating is exactly that. The safe form is a fix, described plainly, with no condition attached.
