Google Business Profile handover record

Record the profile's access, continuity contacts, linked assets, open work, and final sign-in state when a business hands a Google Business Profile to a new owner or manager. This is a practical business record, not a Google form. Use the Google Business Profile ownership-transfer guide for the transfer steps, the owners and managers guide for role setup, and the Google Business Profile hub for the wider profile workflow.

Acknowledgment

Outgoing record keeper: [name, Google Account, date]
Incoming owner or manager: [name, Google Account, date]

This record keeps Google’s documented roles and statuses separate from the business’s own continuity controls. Repeat the six open-edit fields for every item instead of treating a visible change as proof that Google accepted it.

Why this record works

Google allows multiple owners but only one primary owner. Owners can add or remove users, while managers cannot add or remove users or remove the profile. Google shows current users and pending invitations in People and access, so the record keeps those groups separate.1

The transfer action and the record are different things. Only the primary owner can transfer primary ownership to an existing owner or manager. A new owner or manager can encounter errors for some features during the first 7 days, including transferring primary ownership or removing other users. That is a limitation on the new user, not a blanket instruction to make the current primary owner wait.2

The recovery section points to the approved security record without turning this handover document into a credential store. Google says account recovery information can take up to 7 days to take effect and says not to give out passwords or verification codes.3

The asset section is an inventory, not a list of fields every profile must have. Google documents editable details such as the website, photos, products, and links such as online orders, reservations, or appointments.4 Social links are available only in selected regions and may not be available for all users.4 Google lists logo editing among owner and manager capabilities.1 The record's other linked accounts or business assets line is a practical handover field, not a Google-required Business Profile field. Record only what the business actually uses.

The edit section uses Google’s status names: Accepted, Not approved, and Pending. Google says edits usually take up to 10 minutes to review, but sometimes take up to 30 days. Keep the status and the next action in the record instead of assuming that a saved edit is live.5

The review section records a dated public snapshot and a work queue. Google says a primary-ownership transfer maintains business information such as reviews.2 This record is not a promise about the rating, review count, reply, or future review outcome.

The verification section records evidence without the verification credential. Google determines which verification methods are available and may require more than one. Verification reviews can take up to 5 business days; on rare occasions, reviews may take longer.6 Record the result and the person responsible for the next check.

How should I use this without losing control?

  1. Open People and access and record the primary owner, other owners, managers, and pending invitations before changing access.1
  2. Give each person their own Google Account. Use the ownership-transfer guide for the action itself, and keep this page for the before state, transfer result, and final check.12
  3. Record the seven-day limitation for a newly added owner or manager. Do not turn it into a general waiting period for the current primary owner.2
  4. Use a masked recovery contact and a pointer to the approved security record. Never copy a password or verification code into the handover document.36 Keep recovery codes and one-time codes outside this record as a separate business security control.
  5. Inventory the profile assets the business actually uses. Give each asset an owner and a last-checked date so the incoming person knows what still needs attention.4
  6. Record each open edit with the exact Google status, evidence, next action, and responsible account. Keep Pending separate from Accepted and Not approved.5
  7. Take the review snapshot, assign open review work, record verification evidence, then perform the final People and access check with the incoming account.126

What should I not put in a handover record?

Do not Record instead
Put the password, recovery code, verification code, or one-time code in the copyable block. Use a masked recovery contact, a security-record pointer, and a status. Google says not to give out passwords or verification codes, and Google’s verification guidance says verification codes must be kept secure.36
Combine the primary owner, other owners, managers, and pending invitations into one access list. Keep separate entries and check People and access. Google gives these roles different capabilities.1
Describe the seven-day new-user limitation as a blanket wait before the current primary owner can act. Record which new account is affected and the date to check again.2
Treat a saved or visible edit as accepted. Record Accepted, Not approved, or Pending, with the observed date and next action.5
Treat an ownership request as an automatic transfer after three days. Record the request, the current-owner response, and whether Google actually offered a claim-and-verify option. The claim option is not always available.7
Assume every profile has every asset in section 4. Mark unavailable or not applicable, and record what the business actually uses.4
Treat the record as a Google-required handover form. Label it as the business’s practical continuity record and keep the source-backed rules attached to the relevant fields.

What if the current owner does not respond?

Record the ownership request and its confirmation email, the date submitted, the current status, and the current owner’s response. Google says the current owner has 3 days to respond. After 3 days without a response, Google may offer a way to claim the profile and verify the business, but the option is not always available.7

For a storefront or hybrid business, Google’s documented request path starts at business.google.com/add. A service-area business without a physical shop or office is directed to contact Google Business Profile support and use the issue description Transfer ownership of listing. Keep that branch in the record instead of presenting one route as universal.7

What is the difference between ownership transfer and a handover record?

An ownership transfer changes who holds primary ownership.2 A handover record documents what the business must know before and after that action: who has access, which invitations are pending, where recovery responsibility sits, which assets and edits need follow-up, and whether the incoming account can sign in. The transfer procedure belongs in the separate ownership guide; this page supplies the reusable record.
