Google Business Profile monthly maintenance checklist
Use this checklist once each month to record what you checked, what changed, and what still needs follow-up on one Google Business Profile. It is a reusable operating record, not a Google-required form. Google's own guidance recommends a monthly performance review that includes updated photos, current hours, and changes in how customers find the business.1
The 30-minute monthly Google Business Profile routine supplies an order for the checks. This page supplies the record that makes the check repeatable.

What do the status labels mean?
Use the label that describes the evidence you have. The labels in this table are this checklist's internal record conventions unless a row explicitly records a Google media or post status. A blank, unavailable, or awaiting state is not a successful check.
| Status | Use it when |
|---|---|
| Pass | The checked information matches the current business, and no action is open. |
| Fix needed | The information is wrong, incomplete, stale, or needs a deliberate correction. |
| Pending | This checklist label marks an unresolved change, upload, post, reply, or data refresh. For media and posts, record Google's exact Pending status instead. |
| Not approved | Use this only for Google's exact media or post status when Google says the item was rejected and is not public. |
| Not available | This checklist label marks a metric or feature that is not shown for this row. |
| N/A | The check does not apply to this business, category, region, or reporting period. |
For a row explicitly about Google media or posts, keep Google's exact statuses: Pending, Not approved, and Live. Google says photos and posts can use those statuses; Pending and Not approved items do not show on Search or Maps. Keep those Google states intact instead of turning them into this checklist's generic labels.5,6
What does a filled row look like next to a blank row?
The blank row is the reusable shape. The filled row shows the level of detail to preserve without pretending that the example is a Google-required value.

How do I use this checklist without duplicating the audit?
- Copy the monthly record for the profile and reporting period. Set the checker, date, and comparison period before opening the profile.
- Run the checks in the order in the monthly Google Business Profile routine, then preserve the evidence and status in this record.
- Record only changes that match the real business. Google reviews profile edits before updating them live, so keep the before-and-after note and the displayed state.2
- Assign a person and date to every Fix needed, Pending, or Not approved row. Keep the reason beside every Not available or N/A result.
- Use the Google Business Profile quarterly audit for a deeper periodic review. Use this page for the recurring monthly record.

What should I not do with the monthly record?
| Do not | Do instead |
|---|---|
| Treat this layout as a Google-required form or treat a 30-minute split as a Google rule. | Use the layout as your operating record and choose a review time that fits the business. Google advises reviewing profile performance each month, including updated photos, current hours, and changes in how customers find the business.1 |
| Mark a Pending upload or post as Live. | Preserve the status, upload or publication date, and next check. Pending media and posts do not show on Google Search or Maps.5,6 |
| Treat an absent performance metric as 0. | Use N/A or Not available as this checklist's record convention when the report does not show a metric. Google says only metrics that apply to the business appear.9 |
| Treat a service control or review feature that is unavailable for the category or region as a failed profile. | Mark N/A, state the reason when known, and continue with the checks that apply.7,4 |
| Share a password or give a manager an owner-only task. | Use individual Google Accounts and assign access changes to an owner.8 |
| Put prices or phone numbers in custom service names, or use a category as a keyword. | Keep services and categories accurate to the real business and record the correction.2,4 |
| Flag a review only because it is negative or inconvenient. | Report it only when the content matches a named Google policy; otherwise record the reply or follow-up.7 |
FAQ
This checklist is a record of what was checked, what Google showed, and what happens next. It is not a ranking report, a promise of a result, or a substitute for the profile's own status messages.
Is this a Google-required monthly form?
No. This is a checklist record, not a Google form. Google advises reviewing profile performance each month and checking current hours, updated photos, and changes in how customers find the business.1
What should I enter when a performance metric is missing?

Enter N/A or Not available in this checklist when a metric is not shown. Google says only metrics that apply to the business appear.9 The Searches metric is updated at the start of each month and might take up to 5 days to show.9 Until it appears, record Pending as this checklist label and include the measurement date.
Is this the same as a quarterly Google Business Profile audit?
No. This checklist is a lightweight monthly record for recurring checks and follow-ups. Use the Google Business Profile quarterly audit when you need a deeper periodic review.
What should I do with a Pending photo or post?
Keep it Pending in the record, preserve the upload or publication date, and assign the next check. Pending media and posts do not show on Search or Maps, so they are not equivalent to Live.5,6
