How do I run a quarterly Google Business Profile audit?

By Sergey Sulimko, Founder12 min read

Run a quarterly Google Business Profile audit as an ordered 90-day job: confirm access and identity first, then check hours, categories, service areas, services, verification, reviews, and performance. Record the evidence, apply the decision for each failed check, and keep Google's processing windows separate from the audit schedule. The 90-day cadence is a repeatable audit schedule, not a Google requirement.

What should a quarterly Google Business Profile audit cover?

Use one evidence log for the eight checks below. The order is deliberate: access and identity determine whether later edits are authorized and accurate, while performance comes last because its date range and metric definitions depend on the profile state.

Order Audit area Evidence to retain Decision when the evidence fails
1 Access Linked Google Account, current owner or manager state, verification state, and any ownership request dates Resolve access first. If another owner controls a verified profile, use Google's ownership-request path and record the three-day response window. Do not mark the profile controlled until access is confirmed.12
2 Identity Profile name, real-world signage or stationery comparison, address or hidden-address state, business type, and named service areas Correct the profile or record re-verification as a follow-up. For a service-area or hybrid business, apply Google's address, one-profile, named-area, and overall-area rules.13
3 Hours Main weekly hours, split-day entries, Special hours, More hours, and current temporary exceptions Update the matching hours type. Do not overwrite normal hours with a temporary closure or turn a split day into one continuous interval.4
4 Categories Primary category, additional category list and count, and the reason each category describes the business Remove keyword-like, feature-like, or competitor-matching categories. Keep no more than nine additional categories.1
5 Services Whether the services editor is available, listed services, service groups, descriptions or prices, and custom service names Remove policy-violating custom names and keep service details in their own fields. Treat an unavailable editor as a scope condition, not as a missing service.5
6 Verification Method offered, submission date, code status, review status, and any re-verification prompt Follow only the method Google offers. During postcard verification, preserve the name, address, and category, and record the relevant waiting windows.6
7 Reviews Review availability, unread reviews, replies, flagged items, and reply approval state Verify before treating replies as available. Flag only reviews that appear to violate Google's content policies, and keep a submitted reply open until Google approves it or requests an edit.7
8 Performance Verified state, selected start and end dates, searches, views, actions, and the downloaded report Compare like-for-like periods, label the metric definitions, and do not turn an unavailable metric into zero.8

The Google Business Profile audit checklist is the copyable field sheet for a single audit. Use this guide for the quarterly order and decision rules. The monthly Google Business Profile routine covers lighter checks between quarterly audits.

How do I prepare the quarterly audit log?

Set the review window, identify the profile, and create one row for each audit area before changing anything.

  1. Write the profile name, profile URL, linked Google Account, auditor, audit date, and the start and end dates being reviewed.
  2. Record the current verification state and the owner or manager state. The ability to see a public profile does not prove that the signed-in account can edit it.1
  3. Save the current value, the evidence source, the date checked, and the next action for every row. For Performance, download the report after selecting the timeframe in Business Profile Manager → Actions → Insights → Download Report.8
  4. Mark each row as pass, fix, follow-up, or not applicable, and write why when a row is not applicable. Do not fill a missing Google metric with zero.
  5. Make only changes that match the real business. Record the edit date and the status Google shows, then schedule a recheck when the source gives a waiting window.

Keep the audit log's dates separate. The audit window tells you what period you are reviewing. Google's verification, review, and performance refresh windows tell you when a change or metric can be checked again.678

How do I audit access and profile identity?

Start with the Google Account linked to the Business Profile. Google says that account is required to edit business information, and some businesses must verify before making changes.1 Record the account's current role, the profile's verification state, and whether the account can make and save an edit. Viewing the public profile alone is not proof of management access.

If a verified profile is owned by somebody else, an authorized business representative can request ownership. Google says the current owner has three days to respond. After no response, a claim option may appear, but Google says it is not always available.2 Record the request date, response date, and the next access action instead of treating the request as completed ownership.

Then compare the profile identity with the real business:

  • Check that the business name matches its real-world signage, stationery, and other branding. A name change after verification might require verification again.1
  • Classify the operation as a storefront, service-area business, or hybrid business. A service-area business visits or delivers to customers without serving them at its business address. A hybrid business serves customers at its address and also visits or delivers.3
  • For a service-area business, record the named cities, postal codes, or other areas, and check that the profile does not use a radius. Google allows up to 20 service areas and says the overall area should be no more than about two hours of driving time from the business base.3
  • For a service-area business, check that the address is hidden when customers are not served there. A service-area business can have one profile for the whole area it serves.3

If the name, address, business type, or service-area configuration does not match the real operation, record the correction and any verification follow-up before moving to the next audit area.

How do I audit hours and categories?

Check the normal schedule first, then separate temporary or service-specific hours from the weekly schedule. Google documents Edit profile → Hours for the hours controls.4

Finding Use Record
Normal weekly schedule Main hours The opening and closing times for each day
A split day Two entries for the same day Both intervals, not one combined interval4
Holiday or temporary change Special hours The affected dates and whether a closure lasts six consecutive days or fewer4
A service with a different schedule More hours The service and its separate schedule4

Next, check the primary category and additional categories. Google says the primary category should be specific and represent the main business. A profile can select up to nine more categories. Categories must not be used only as keywords, to describe features, or to match another nearby or related business.1

For each category, write the business fact it represents. If the fact is not true of the business as a whole, remove the category or record a correction. If the profile has no suitable specific category, Google's guidance says to choose a general category.1

How do I audit service areas and services?

Check service-area eligibility before checking the list of areas. A service-area business should serve customers at their locations rather than at the profile address. A hybrid business can show its address and service area. Use named areas, not a radius, and keep the overall area within Google's approximate driving-time guidance.3

For services, open the Business Profile and select Edit services when the control is available. Google says the services editor is available only to businesses in certain categories. It can group services and include details such as descriptions and prices.5

Review each listed service in this order:

  1. Confirm that the service is still offered.
  2. Confirm that the service is in the right group.
  3. Check the service name for a clear, factual description of the offering.
  4. Check the description and price fields when Google provides them.
  5. Remove a custom service name that contains profanity, gibberish, personal information, a price, or a phone number. Google says policy-violating custom services can be rejected automatically.5

If Edit services is not present, record that the feature is unavailable for the profile or category. Do not move service names into the business name or categories to compensate.

How do I handle verification findings and waiting windows?

Record the verification method Google offers rather than choosing one yourself. Google says available methods are determined automatically and depend on the business type, public information, region, and opening hours. Google may require more than one method.6

When postcard verification is offered, record these separate dates:

Event Google guidance Audit action
Postcard arrival Most codes arrive within 14 days Record the request and arrival dates.6
Code expiry Codes expire after 30 days Record the expiry date and keep the code secure.6
Changes while waiting Changing the business name, address, or category makes the mailed code unusable; requesting a new code invalidates the earlier one Do not make those changes or request a replacement casually.6
Review after verification steps Verification review takes up to five business days, although rare cases can take longer Record when the review finishes and any next step Google requests.6

For businesses with 10 or more profiles from the same business, check whether the bulk-verification conditions apply. Google excludes duplicate, suspended, and disabled profiles from the minimum, excludes service-area businesses, and requires the account to include all profiles it manages.9

How do I audit reviews without confusing a pending reply with a failure?

Check review availability and verification before reviewing reply status. Google says a verified Business Profile is required before a business can reply to reviews. Review availability also depends on the country or region and business category.7

For each unread review, record whether a reply was submitted, whether Google approved it, and whether Google requested an edit. Flag a review only when it appears to violate Google's content policies. A negative review alone is not a reason to flag it.7

Google reviews replies before posting them. Replies usually take up to 10 minutes to review, but the review can sometimes take up to 30 days. Keep the reply in a pending state until Google approves it or requests an edit.7

How do I compare Google Business Profile performance for the quarter?

Use a completed date range and the Google Account associated with a verified profile. Google says performance data is available only for verified Business Profiles, only metrics that apply to the business appear, and a report can be downloaded after selecting a timeframe.8

Record the exact start date, end date, date checked, and source mix. Google says performance data includes views, searches, and actions from organic Search results and Google Ads.8

Metric What to record Boundary to keep with the metric
Searches The search terms and the month shown Search terms update at the start of each month and may take up to five days to appear.8
Views The displayed profile-view count and date range Views count unique visitors to the Business Profile with Google's device, platform, and once-per-day counting limits. They are not total views of the business on Google.8
Directions The displayed count Directions are requests for directions to the business.8
Calls The displayed count and the phone number state Calls count clicks on the Business Profile call button. Google says a phone number is required to track this metric.8
Website clicks The displayed count Website clicks count clicks on the profile website link.8
Messages The displayed count Messages count different conversations.8
Bookings The displayed count and booking-provider state Bookings count completed bookings through a booking provider.8

Compare the quarter with a like-for-like period only after preserving those definitions. An unavailable metric is not zero, and a profile-view count is not a measure of total views of the business on Google. For the metric definitions and reporting distinctions, see how to read Google Business Profile performance metrics.

How do I close the audit and plan the next check?

Close each row with one of four outcomes:

  • Pass: the current profile and evidence match the real business.
  • Fix: an authorized person can correct the field now.
  • Follow-up: the correction is made or submitted, but Google has a stated processing or verification window to observe.
  • Not applicable: the profile or business does not have the feature, with the reason recorded.

Keep the evidence log with the selected quarter, the current profile state, the edit or submission dates, and the next check date. Start the next quarterly audit from the previous log, but recheck the current profile instead of assuming that a past pass remains true.

Common questions

Is a quarterly Google Business Profile audit required by Google?
No. The quarterly cadence in this guide is a repeatable audit schedule. Use Google's separate profile-field, verification, review, and performance guidance to decide what to check and when to recheck.
What should I do if I can view a profile but cannot edit it?
Sign in to the Google Account linked to the profile and record the current access and verification state. If another owner controls a verified profile, request ownership and record the three-day response window. A no-response claim option may appear, but Google says it is not always available.
Should an unavailable Performance metric be recorded as zero?
No. Google says only metrics that apply to a business appear. Record the metric as unavailable and preserve the profile type, verification state, and selected dates instead of treating the missing card as zero.
How long should I wait before checking a verification or review change?
Use the window that matches the change. Postcard codes usually arrive within 14 days and expire after 30 days. Verification review takes up to five business days after the steps are complete, while review replies usually take up to 10 minutes but can sometimes take up to 30 days.
