Google Business Profile change log template
Record the exact profile item, its old and new value, who changed it and with which role, the submission time, the evidence, Google's status, and the next action. Copy the change record below for every edit. Google reviews edits to a verified Business Profile before updating them live, so a saved submission and the value later displayed on the profile are separate things.1,2

The Google Business Profile change record
Copy this block once for each profile item or access change. Keep the Google status and the displayed value as separate fields.

What should I put in each field?
Use one precise profile surface per record. Google lists business name, category, address and pin, service area, hours, phone, website, social links, attributes, photos and videos, description, opening date, menu or services, and products among the surfaces that may be editable. Availability can vary by business, category, region, language, device, or Google product.1
| Field | What to write | Why it matters |
|---|---|---|
| Profile item | The exact surface changed, such as Business hours, Address and pin location, Business description, or People and access.1,3 |
A specific item keeps the record searchable and preserves any field-specific condition. |
| Old value | The value visible immediately before the edit. If the change was discovered later, write not recorded instead of guessing. |
The before value lets a later reviewer see what actually changed. |
| New value submitted | The exact value or action sent to Google. Record the submitted value separately from the later displayed value. | Google reviews edits before updating them live, so Save is not proof that the new value is public.1,2 |
| Editor | The person's name, their Google Account, and their role when known: owner, primary owner, or manager. | Google says each user should use their own Google Account. Owners and managers can edit profile information, but their access is not identical.3 |
| Change submitted | The local date, time, and time zone when the edit was submitted. | This is your recordkeeping timestamp. Do not label it as a Google event timestamp. |
| Evidence URL or screenshot | A link to the profile or status view, a notification location, or a screenshot filename.1,2,4 | Someone checking the record should be able to see what value or status the record describes. |
| Google status | Use Google's exact edit outcome: Accepted, Not approved, or Pending. For a Google-applied change, record the separate blue or black/white signal. |
The status determines whether the next action is to verify, correct, appeal, or wait.2,4 |
| Displayed value checked | Write what is currently visible, or not yet checked. |
An accepted edit displays on the profile, while a pending edit remains under review.2 |
| Follow-up | Name the next action, owner, due date, and evidence still needed. | Pending, Not approved, Google-applied, access, and verification-sensitive changes need a visible next step. |
| Notes / reason | The business reason, source for the correct value, and any exception. | The note preserves context without replacing the exact before, after, and status fields. |

What do the Google status labels mean?
Keep Google's labels intact. Do not replace every result with done.
| Label to record | Use it when | Next check |
|---|---|---|
Accepted |
Google says the updated information displays on the Business Profile.2 | Check the displayed value and record the result. |
Not approved |
Google might not approve the change if it cannot confirm its accuracy, and an appeal may be available.2 | Read the reason, compare the value with the business's evidence, and record whether an appeal or correction is appropriate. |
Pending |
The edit is still under review. Google says review usually takes up to 10 minutes but can sometimes take up to 30 days.2 | Recheck the status and displayed value. Keep the follow-up open until the result is known. |
Blue |
Blue text identifies information changed by Google in the profile editor.4 | Compare the field with real-world evidence and record whether you accepted, corrected, or escalated the change. |
Black or white |
Google says black or white text indicates no Google updates.4 | Record the check date and the value you saw. Do not treat the color alone as proof that an owner submitted the value. |
Suggested edit, review due [date] |
Google notified the owner that a suggested edit needs review. The owner has 4 days to accept or reject it after notification. | Record the notification evidence and the response before the due date. Google may publish a supported update when there is no response.4 |
Google may apply some suggested edits without prior review when the edits are needed to meet policy guidelines. A blue value therefore records a Google change, not an owner-submitted edit.4
What does a completed record look like?
This fictional example shows the level of detail to preserve. It is not a Google-required field set and does not represent a real business.
| Field | Completed example |
|---|---|
| Business / profile / location | Northside Plumbing / Business Profile URL / Austin, TX |
| Profile item | Business hours |
| Old value | Saturday, 9:00 AM to 1:00 PM |
| New value submitted | Saturday, 10:00 AM to 2:00 PM |
| Editor | Taylor Reed / taylor@example.com / Manager |
| Change submitted | 2026-10-11 14:20, Central Time |
| Evidence URL or screenshot | hours-before-after-2026-10-11.png |
| Google status | Accepted |
| Displayed value checked | Saturday shows 10:00 AM to 2:00 PM on 2026-10-11 14:35, Central Time |
| Follow-up owner | Taylor Reed |
| Follow-up action | None |
| Follow-up due | None |
| Notes / reason | Saturday schedule changed; current schedule confirmed by the owner |

The example records the submission and the displayed result separately. That distinction matters for a Pending result, a Not approved result, or a profile value Google changed from another source.2,4
How should I use the change log?
- Copy the change record before editing when possible. Capture the old value first. If you found the change after it happened, write
not recordedrather than reconstructing a value from memory. - Name one exact profile item. Use Google's editor on Search or Maps with the Google Account linked to the Business Profile, then record the submitted value and local timestamp. The available controls can differ between Search, Maps, and the device operating system.1
- Save the evidence URL or screenshot before moving on. If the change is an access change, include the People and access view and the editor's role.3
- Check Google's status and then check the profile's displayed value. Keep
Pending,Not approved, and Google-applied changes open until the follow-up is resolved.2,4 - Use the Google Business Profile monthly maintenance checklist for recurring checks, and use the Google Business Profile audit checklist for a broader review. This log records each change between those reviews.
For the action paths themselves, see how to edit and remove a Google Business Profile. The linked Google editing guide says the Search path is Edit profile, make the change, then Save; the Maps app path is Business, Edit profile, make the change, then Save.1
What should I not do with the change log?
| Do not | Do instead |
|---|---|
| Treat Save as proof that the new value is already live. | Record the submitted value, Google's exact status, and the displayed value after checking it.1,2 |
Collapse Pending, Not approved, and a Google-applied update into Accepted. |
Preserve the status and assign a follow-up. Pending can remain under review for up to 30 days, according to Google.2,4 |
| Turn a local timestamp into a claim about when Google changed the profile. | Label it as the local submission or check time, with the time zone. |
| Share one Google Account password or give access to people who do not need it. | Give each person their own Google Account, limit access to essential owners and managers, remove former employees, and retain owner access when a third party manages the profile.3,5 |
| Treat a blue value as proof that the owner submitted it. | Record it as a Google update and compare it with the business's evidence.4 |
| Treat this layout as a Google-required history or promise that every profile has every field. | Use it as a local recordkeeping template, and mark an unavailable field N/A with the reason. |
