Google update record
Copy this record when Google changes profile information from another source. Google says a notification and blue text identify a Google update in the profile editor, but not every update can be managed there. The broader Google Business Profile information-changing breakdown explains how to investigate a repeated change.2

Suggested edit record
Copy this record when Google notifies the business about a user suggestion or when a suggested edit is observed separately from an owner save. For certain suggested edits that require review, Google says the response window is 4 days from notification. If the business does not respond within that window, Google may automatically publish the suggestion when other public information supports it. Google may also apply some policy-required suggested edits without prior review.2
Google Business Profile suggested-edit record

Filled Pending example
This example shows how to preserve a submitted value while the edit remains under review. The business name and profile details are placeholders, not a real business record.

What should I record in each field?
| Field | What to record | Boundary to keep |
|---|---|---|
| Profile identifier | The business name, profile URL, and location or another unambiguous identifier. | Keep one log for each profile. |
field_changed |
The exact field, such as name, category, address, phone, website, or hours. | Record the field, not only a broad note such as “profile updated.” |
submitted_value |
The exact value saved by the owner. | Do not reconstruct it from the current public profile. Use not applicable for a Google update or suggested edit when no owner save occurred. |
displayed_value |
The value currently visible in the owner view or public profile. | Write not yet visible when the edit remains under review. Do not overwrite the submitted value when this value changes. |
status |
Accepted, Pending, or Not approved for an owner edit; Google update or Suggested edit for the separate branches.1,2 |
Do not use an owner-edit status for a Google update or a suggested edit. |
submitted_at |
The owner's timestamp for selecting Save. | This is an owner-maintained event time, not a promise that Google exposes a historical submission timestamp. |
status_checked_at |
The date, time, and time zone when the owner checked the status or displayed value. | Add a new check to the record or a new event record rather than erasing the earlier observation. |
source_or_evidence |
A screenshot, notification, profile URL, email, or stored record that supports the observation. | For documents submitted with an appeal, make sure the business name and address match the Business Profile. |
appeal_or_support_decision |
The route used, submission date, exact appeal status or support response, and decision. | Keep appeal statuses such as Submitted, Approved, and Not Approved separate from owner-edit statuses.4 |
next_action |
The next check, correction, appeal or support step, or close-out action. | Record an action, not a promise that Google will approve or publish the change. |

How do I record each owner edit status?
Use the exact owner-edit status that Google shows after the save. The guide to rejected or pending Google Business Profile edits explains the same status labels and timing language.1
| Status | What to record next |
|---|---|
| Accepted | Record the displayed value and the status-check timestamp. Google defines this status as the updated information displaying on the Business Profile.1 |
| Pending | Keep the submitted value, submission timestamp, and every later status check. Google says review usually takes up to 10 minutes but can sometimes take up to 30 days. That is a review window, not a guarantee that every edit will display within 30 days.1 |
| Not approved | Record the reason or accuracy issue if shown, then record the region-appropriate appeal or support route and the exact result. Do not replace this status with an appeal status.1,4 |
For a US business, Google's current appeal guidance lists Contact us for rejected business-information edits outside the UK and European Economic Area, including name, category, address, phone, and website edits. The same guidance lists the Appeals tool for businesses in the UK or EEA. Appeal reviews and decisions can take up to 5 business days, and Google says not to submit multiple appeals for the same issue before a decision.4 The guide to rejected or pending Google Business Profile edits covers the diagnosis; this record preserves the evidence and decision.
How do I use these without losing the history?
Add a new record for every owner save and every separately observed Google or suggested-edit event. Keep the original submitted value, use the time zone for every timestamp, and write not applicable or not recorded instead of guessing. The guide to editing and removing your Google Business Profile covers the live edit path; this template preserves what happened after each action.
If an owner edit is later followed by a Google update, keep both records. If a suggested edit leads to a separate owner correction, keep the suggestion and the owner save as separate records.2 Preserve the source signal, but do not use the log to claim who or what source caused every change.
What should I keep separate?
| Do not combine | Keep as separate records |
|---|---|
| An owner edit and a Google-applied change | The owner record with Accepted, Pending, or Not approved, and the Google-update record with Google update. |
| An owner edit and a user suggestion | The owner save and the suggested-edit notification or outcome. |
| The owner-edit review window and the suggested-edit response window | The usual 10-minute, sometimes 30-day owner-edit review language, and the 4-day response window for certain review-required suggested edits.1,2 |
| An owner-edit status and an appeal status | Not approved in the owner record, plus the appeal route and exact appeal status in appeal_or_support_decision.1,4 |
| A submitted value and a later displayed value | The exact value saved and the value observed after review or a later change. |
What should I not put in the log?
- Do not call this a Google-provided historical edit log. It is an owner-maintained record of observations.
- Record blue text and the notification as evidence that Google changed information.2 Do not use those signals to name a particular user or source.
- Do not turn a suggested edit's 4-day response window into a Pending status or an owner-edit deadline.2
- Do not submit multiple appeals for the same issue while waiting for a decision. Google says appeals can take up to 5 business days, and the appeals tool says an appeal can be submitted only once.4
- Do not overwrite the original submitted value when the displayed value changes.
Common questions
- No. Google documents owner-edit statuses, Google-update signals, suggested-edit notifications, and appeal information. This template keeps an owner-maintained record of those observations; it is not a Google-provided history.
- No. Those three labels belong to an owner-saved edit. Use Google update for a Google-applied change and Suggested edit for a user-suggested workflow, then record the visible evidence and next action in the matching record.
